How We Work — 4 Steps from
Enquiry to Driver on the Road

From first contact to the driver operating on your routes, there are four steps. The actual timelines depend on two variables: the driver's nationality and the service model chosen (Model A = direct hire, Model D = ETT staff-leasing). This page describes each step with concrete timelines, not optimistic estimates.

Enquiry and Requirements Specification

The process begins with a requirements briefing. Your company does not need to have every technical detail mapped out — DriversHub asks the right questions.

MINIMUM INFORMATION NEEDED

  • Cargo type or sector (general freight, ADR, refrigerated, parcel, construction)
  • Vehicle type and tonnage (CE articulated trailer, rigid C truck, tanker)
  • Typical routes (national, international, regional, urban)
  • Number of drivers required and shift pattern (day, night, split)
  • Desired start date

WHAT YOU RECEIVE IN 48H

Proposal of 2–3 pre-validated profiles from the active pool (100+ UA/MD/KZ/BY/UZ drivers). Each profile includes: verified licence category, years of experience, employer history, languages, availability, and notes on any pending paperwork.

No charge at this stage

The candidate proposal is free of charge and creates no obligation to proceed.

2–7 DAYS FROM RECEIPT OF PROPOSAL

Selection and Documentation

The company reviews the profiles and selects a candidate. DriversHub arranges the technical interview (video call or on-site at the company's premises).

INTERVIEW PROCESS

Video call with interpreter if the driver's language is Ukrainian or Russian. Typical duration: 30–45 minutes. If no proposed profile matches, DriversHub expands the search to the TridentLogistic network (100+ UA/MD/KZ profiles).

MODEL A — DIRECT HIRE

DriversHub acts as a Placement Agency. The driver will become a direct employee of the company once onboarding paperwork is complete. One-time placement fee payable on signing the placement contract.

MODEL D — STAFF-LEASING

Under Model D the ETT acts as the formal employer. The driver is placed with the user company. Monthly fee per agreed tariff. Available subject to ETT authorisation — consult us.

VARIES BY NATIONALITY AND MODEL

Document Processing

Once the service contract is signed, DriversHub opens all files simultaneously to minimise total elapsed time.

TIE/NIE (Foreign Identity Number)

Required for Social Security registration, employment contract, and DGT. Typical timeline: 2–4 weeks from submission.

SEPE work authorisation (where applicable)

Not required for UA drivers (active Temporary Protection). MD: 2–3 months. KZ/BY/UZ: 6–8 months. DriversHub submits the complete file to the Foreign Nationals Office.

DGT licence exchange

DriversHub applies for the provisional receipt that authorises legal driving during processing. Timeline for provisional receipt: 1–2 weeks. Full exchange: 6–8 months for UA/MD, 8–14 months for KZ/BY/UZ.

CAP

Verification of any existing CAP certificate, or enrolment at an approved training centre if the driver does not hold a valid European CAP. CAP training from scratch: 2–4 weeks.

Social Security registration

Processed in parallel with other files once prior authorisations are in place.

EARLY OPERATIONAL STARTS

UA/MD/KZ drivers covered by DGT bilateral agreements can operate in Spain on their original licence plus the DGT provisional receipt from the early days of the process. DriversHub sends the company a weekly status update on all active files.

1–2 WEEKS (UA) TO 3–4 MONTHS (MD/KZ)

Onboarding and Ongoing Management

When the minimum documents are in order (DGT receipt + work authorisation + Social Security registration), the driver joins the company's operations.

30-DAY FOLLOW-UP PERIOD

DriversHub maintains direct contact with the driver and the fleet manager throughout the first month. Any documentary, employment, or communication issue is handled directly by DriversHub — no need for the user company to intervene.

MODEL D REPLACEMENT GUARANTEE

If the driver leaves permanently, DriversHub proposes a replacement within 48–72 hours. No daily rate charged for the vacant position during the search.

KZ/BY/UZ processing timelines include the full SEPE process (Foreign Nationals Office, Alicante). UA/MD timelines assume candidate initial documentation is available. The full DGT exchange does not block operational start — the driver works on the provisional receipt.

FAQ — Onboarding Process

What happens if none of the proposed profiles fits our operation?

If the 2–3 profiles in the initial proposal do not match, DriversHub extends the search to the TridentLogistic network at no additional charge. The second proposal is delivered within 3–5 business days. If the requirement is highly specific (specialist certifications, experience in a niche sector), DriversHub communicates the realistic search timeline before starting. No fee is charged until the company confirms a candidate and signs the service contract.

Can we interview candidates before making a commitment?

Yes, the technical interview is part of Step 2 and creates no obligation to hire. The company may interview a maximum of 3 candidates per process before making a decision. For international routes or highly technical profiles, DriversHub can arrange a driving assessment coordinated on the company's premises.

How quickly can DriversHub provide a replacement under Model D if a driver leaves?

The staff placement contract (Model D) includes a replacement guarantee: DriversHub proposes a replacement profile within 48–72 business hours of being notified of the departure. If the departure is due to a work-related cause (accident, illness), DriversHub manages the temporary incapacity process. During the period of searching for a replacement, the user company is not charged the daily rate for the vacant position.
